Integrated Medical Services, Inc. is currently searching for a professional, compassionate and knowledgeable individual to fill the position of Front Office Lead for our Cardiology clinic in Surprise. The Front Office Lead will oversee the front office area which may include; check in and check out functions, scheduling, verifications, referrals, and medical records. The Front Office Lead will be expected to greet patients and provide the highest quality customer service. They may perform a variety of front office tasks including check in and check-out, answering phones, scheduling, and filing. Instill the IMS mission, vision and values in the work performed.

Responsibilities:

  • Supervises Front Office staff to ensure the front office is running as smoothly as possible and that all employees are performing their jobs to company standards.
  • Coordinates and manages physician clinic schedules.
  • Welcomes patients as they contact the office either personally or by telephone, and explains the services available, payment categories, and billing procedures.
  • Manages check-in and check-out functions. Verifies demographics of new patients and scanning insurance cards for the medical file. Gives patient forms prior to meeting with the provider and verifies that the patient has completed the forms completely and accurately, including signature and date. Adds completed forms to the medical file.
  • Generates route slips for each patient, and assures that all services provided have been checked out properly.
  • Schedules appointments/tests/procedures. Directs walk-in patients and emergencies as per established policies and procedures.
  • Collects co-pays. Reviews and verifies patient coverage of insurance or other agencies and computes the charges to be paid by the patient.
  • Collects deposits or co-pays/deductibles prior to the patient being seen by the provider per established policies and procedures. Reviews account for balances due. Informs patient of their outstanding balance, collects said balance, and issues cash receipt when monies are collected.
  • Answers all incoming calls and route them to the appropriate staff.
  • Performs other duties as assigned

Requirements: 

  • Previous experience with Athena system a plus
  • Excellent customer service and communication skills
  • Ability to plan, coordinate and organize front office tasks and work flow
  • Excellent communication skills, ability to take initiative, work well with an established team
  • Excellent organizational skills.
  • Attention to detail.
  • Computer skills using Microsoft software, scheduling software, and email applications.

Education:

  • High school diploma or equivalent
  • 2-3 years of experience in a medical front office environment.
  • At least 1 year of lead or supervisory experience in a medical office setting.
